CMT Scanner — last updated 18 September 2026
CMT Scanner Pty Ltd (ABN 23 659 650 585), trading as CMT Scanner ("we", "us", "our"), respects your privacy and is committed to protecting your personal information. This policy explains what we collect, why we collect it, how we use and disclose it, and how you can access, correct or complain about it.
We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
This policy applies to www.cmtscanner.com, to our products and services, and to our dealings with customers, suppliers and enquirers. It does not apply to third party websites we link to — those sites have their own policies.
"Personal information" means information or an opinion about an identified individual, or an individual who is reasonably identifiable, whether or not it is true and whether or not it is recorded in a material form.
By using our website or providing us with your information, you consent to us handling it as set out below.
1. What personal information we collect
The information we collect depends on how you deal with us. It may include:
- Contact and identity details — name, business name, job title, email address, phone number, postal or site address.
- Enquiry and quote information — the content of your enquiry, the vehicles or equipment you're asking about, site details, and any files you send us.
- Customer and account information — billing and delivery addresses, purchase history, service records, warranty and support history, and account login details where you have an account.
- Payment information — we do not store full card numbers. Card payments are processed by our payment provider; we retain only transaction references and the last digits of a card where our provider supplies them.
- Vehicle and scan information — see section 4.
- Technical and usage information — IP address, device and browser type, operating system, referring page, pages viewed, time spent, and similar analytics data collected automatically when you visit our website.
- Recruitment information — where you apply for a role, your CV, work history, qualifications, referee details and right to work information.
- Marketing preferences — whether you have subscribed to or opted out of our communications.
We do not knowingly collect sensitive information (such as health information) and ask that you do not send it to us. If you do, we will handle it in accordance with the APPs or securely destroy it.
2. How we collect it
Wherever it is reasonable and practicable, we collect personal information directly from you — through our website forms, by email or phone, at trade shows and site visits, during installation, training and support, and when you buy or use our products.
We also collect information:
- automatically through cookies and analytics when you use our website (section 5);
- from our equipment when it is operated at a customer site (section 4);
- from third parties such as your employer, a dealership you work with, a referrer, our joint venture partners, or publicly available sources such as company websites and business registers.
If we receive personal information about you that we did not ask for and could not have collected lawfully ourselves, we will destroy or de-identify it where the law allows.
3. Why we collect, hold, use and disclose it
We use personal information for the purpose it was given to us and for related purposes you would reasonably expect, including to:
- respond to your enquiries and provide quotes;
- supply, install, configure, service and support our products;
- generate scan reports and deliver them to you or your dealership;
- process orders, payments, invoicing and debt recovery;
- manage warranty, support and training;
- improve our products, software and website, including testing and diagnostics;
- send you service notices, product updates and — where you have not opted out — marketing;
- assess job applications;
- meet our legal, regulatory, insurance and work health and safety obligations.
If you choose not to give us the information we ask for, we may not be able to provide the product, service or response you're after.
4. Vehicle scan data and automated analysis
Our scanning equipment captures images and measurements of vehicles — including body panels, wheels, tyres and undercarriage — and analyses them automatically to produce condition and tread depth reports.
Most of this data is about a vehicle, not a person. However, some of it may be personal information, because:
- images may capture number plates, VINs or other identifiers that can be linked to a registered owner;
- images may incidentally capture people standing near the vehicle;
- scan results are usually linked to a customer record, job number or dealership contact.
How we handle it:
- Controller. Where a scanner is operated by a dealership or service provider, that business decides what is scanned and who receives the report. We process the data on their behalf and under our agreement with them. Ask them for their own privacy policy.
- Analysis. Reports are produced by automated image analysis. Results are indicative and are intended to support, not replace, a qualified technician's assessment. No decision that significantly affects you is made by our software alone.
- Product improvement. We may use scan images and measurements to test, train and improve our detection software. Where we do, we de-identify the data — including obscuring number plates and faces — unless you or the operating business has agreed otherwise.
- Access. Scan reports are made available to the operating business and, where they choose, to the vehicle's owner or driver.
If you believe a scan image of your vehicle contains personal information you want removed, contact us at privacy@cmtscanner.com with the date, site and registration and we will locate and deal with it.
5. Cookies, analytics and tracking
Our website uses cookies — small files stored on your device — and similar technologies. We use:
| Type | What it does | Can you turn it off? |
|---|---|---|
| Essential | Keeps the site working, remembers form state and security sessions | No — the site won't work properly without them |
| Analytics | Tells us which pages are visited and how people move through the site | Yes |
| Marketing | Measures ad performance and shows you relevant ads | Yes |
We currently use Google Analytics 4, Google Ads, Meta Pixel and the LinkedIn Insight Tag. These providers may set their own cookies and receive information about your visit, subject to their own privacy policies.
You can block or delete cookies through your browser settings, and opt out of Google Analytics using the Google Analytics opt-out add-on. Blocking some cookies may affect how the site works.
Our website is not designed to respond to "Do Not Track" browser signals.
6. Who we disclose it to
We do not sell your personal information. We may disclose it to:
- our staff, contractors and installers, to the extent they need it to do their job;
- the dealership, workshop or business you deal with, where scan reports or service records relate to them;
- our joint venture and referral partners, where you have engaged with both businesses or asked to be introduced;
- service providers who support our business — website and application hosting, cloud storage, email, CRM and marketing platforms, payment processing, accounting, analytics, and IT support;
- professional advisers such as lawyers, accountants and insurers;
- a purchaser or potential purchaser of our business, under confidentiality;
- law enforcement, regulators or courts, where required or authorised by law.
Overseas disclosure
Some of our service providers store or process data outside Australia — most commonly in the United States and the European Union. Before disclosing personal information overseas we take reasonable steps to ensure the recipient handles it consistently with the APPs, including through contractual protections.
If you'd like to know exactly where your information is held, contact us at privacy@cmtscanner.com.
7. Storage, security and retention
We hold personal information in a mix of electronic systems and, occasionally, paper records. Electronic records are held on our own systems and with reputable cloud providers.
We take reasonable steps to protect information from misuse, interference, loss, and unauthorised access, modification or disclosure — including access controls and role-based permissions, encryption in transit, secured premises and equipment, staff confidentiality obligations, and regular review of our systems.
No method of transmission or storage is completely secure. We cannot guarantee the security of information you send us over the internet, and you send it at your own risk.
We keep personal information only as long as we need it for the purposes above, or as long as the law requires — for example, tax and financial records are generally kept for seven years. When we no longer need it, we destroy or de-identify it.
8. Access and correction
You can ask for access to the personal information we hold about you, and ask us to correct it if it's inaccurate, out of date, incomplete, irrelevant or misleading.
Email privacy@cmtscanner.com or write to us at Unit 1, 19 Virginia Street, Geebung QLD 4034. We may ask you to verify your identity. We'll respond within 30 days.
There's no charge for making a request, though we may charge a reasonable fee for the cost of giving you access to a large volume of material. We'll tell you the fee before we proceed.
In some circumstances the law allows us to refuse access or correction — for example, where it would unreasonably affect someone else's privacy. If we refuse, we'll tell you why in writing and how to complain.
9. Direct marketing
We may send you information about our products, services, training and events by email, SMS or post, where you've given us your details or we have an existing business relationship with you.
Every marketing message includes an unsubscribe option. You can also opt out any time by emailing privacy@cmtscanner.com. We'll action it promptly and at no cost.
Opting out of marketing doesn't stop service messages — order confirmations, support responses, safety notices and similar — which we'll keep sending while you're a customer.
We comply with the Spam Act 2003 (Cth) and the Do Not Call Register.
10. Complaints
If you think we've breached the Australian Privacy Principles or mishandled your personal information, tell us first — email privacy@cmtscanner.com or call 1800 002 268 with the details of what happened and what you'd like us to do.
We'll acknowledge your complaint within 5 business days and aim to resolve it within 30 days. If we need longer, we'll explain why and keep you updated.
If you're not satisfied with our response, you can contact the Office of the Australian Information Commissioner:
- Website: oaic.gov.au
- Phone: 1300 363 992
- Post: GPO Box 5288, Sydney NSW 2001
11. Data breaches
If a data breach occurs that is likely to result in serious harm, we will assess it promptly and, where the Notifiable Data Breaches scheme applies, notify affected individuals and the Office of the Australian Information Commissioner as required.
12. Changes to this policy, and how to contact us
We may update this policy from time to time to reflect changes in our practices or the law. The current version is always available at www.cmtscanner.com/privacy-policy, with the date it was last updated at the top. Material changes will be notified on our website.
